Running a business solo isn’t for the faint of heart. There are days when it feels like you’re doing the work of five people… while also trying to drink enough water, keep up with emails, and somehow have a life.
If that’s you—hi, friend—you’re not alone. I’ve tried dozens of time management systems over the years, and today I’m sharing the 10 hacks that actually stuck. These aren’t fluffy tips—they’re sanity-saving strategies that have helped me stay focused, get more done, and feel way less overwhelmed.
✨ Spoiler: These hacks are especially friendly for women navigating perimenopause and juggling a thousand things.

HACK 1: Theme Your Days Like a CEO
Give each weekday a focus. No more hopping from admin to content to client work and back again.
Think:
Monday = Content creation
Tuesday = Content creation
Wednesday = Marketing
Thursday = Admin
Friday = Learning or CEO time
You stay in flow, your brain chills out, and your calendar starts working for you.
HACK 2: Create a “Not-To-Do” List
To-do lists are great. But your not-to-do list? That’s next level.
It’s a written reminder of all the things that drain you or waste your time. Mine includes:
reply to emails in real time,
tweak my website endlessly,
spend 2 hours choosing a Canva template
Boundaries = energy.
HACK 3: Use the 2-2-2 Rule
This simple rule helps me structure my day with intention:
2 big priorities
2 small tasks
2 self-care actions
It’s balanced. It’s doable. And it keeps me from burning out before lunch.
HACK 4: Batch Record Voice Notes for Content Ideas
Sometimes, the hardest part of building a business is realizing that not everyone will support you. Some friendships change, and some people won’t understand your vision. Instead of trying to make them get it, I learned to let them go—so I could make space for the people who truly uplift and inspire me.
Takeaway: Growth requires letting go. If someone doesn’t support your dream, let them go and keep moving forward.
HACK 5: Color-Code Your Calendar Like a Boss
I know it sounds type-A, but listen: color coding = clarity.
Red = Revenue Tasks
Yellow = Creative Work
Blue = Admi
Pink = Self-Care
At a glance, I can see if my week is balanced—or heading toward chaos.
HACK 6: Set Office Hours (Even If You Work From Home)
When you work from your kitchen table, boundaries blur.
Setting office hours gave me back control. I start at 9am, end at 4pm, and I don’t check DMs at 9pm anymore.
Clients respect it, and I finally have evenings that feel like mine.
HACK 7: Leverage Menopause-Friendly Scheduling
As women 40+, we’re working with shifting energy levels and hormones.
So I’ve stopped forcing myself to “go hard” every day. I plan creative work when I’m most energetic, and admin on lower-energy days.
You don’t have to power through—you get to flow.
HACK 8: Automate the Repeat Stuff
If you’re doing it more than twice, it’s time to automate it.
Recurring invoices, onboarding emails, social media scheduling—all automated.
It’s like cloning yourself, without the sci-fi drama.
HACK 9: Create a “Pre-Work Ritual”
Instead of jumping straight into chaos, I start my day with a short ritual:
💧 Water
🕯️ Walk
🧠 Review my 3 priorities
It signals to my brain: “Okay, we’re doing this.” And it makes the start of work feel… kinda lovely.
HACK 10: Embrace the 80/20 Rule—Ruthlessly
The truth? Only about 20% of what you do drives 80% of your results.
So I doubled down on what works—and let go of the rest.
Less busywork. More impact. More breathing room.
Ready to Reclaim Your Time?
These hacks helped me stop drowning in tasks and start running my business with more flow and freedom.
If even one of them sparks an “Omg yes!” for you—amazing. Take what fits, leave the rest, and tweak them to match your rhythm.
